Terms & Conditions

Making a Payment

Powderhound DBA RIDE THE POWDER will send a confirmation email to the person who books the transportation on behalf of the group. The invoice will include accurate travel details, such as the number of passengers and pickup time. Please verify these details are correct before completing payment.

Mandatory Cleaning Fee

A mandatory cleaning fee of $75 will be charged if the driver determines that cleaning is required after the trip. This decision is at the discretion of the driver and ensures the vehicle is maintained for the next passenger's comfort and safety.

Check-In / Waiver

Effective February 3, 2021, an automated confirmation email will be sent to the person listed on the invoice. This email allows them to check in on behalf of the group, similar to an airline check-in process. The vehicle is not confirmed for departure until the check-in document has been signed and submitted.

Terms and Conditions

As of February 3, 2021, all clients are required to sign the Powderhound Terms and Conditions Agreement.

COVID-19 Statement

We appreciate your decision to travel to Colorado and look forward to providing safe car service for you and your family. Drivers are encouraged to sanitize high-touch areas, such as door handles and seat belts, and to follow updated Denver International Airport regulations. Drivers should open doors and windows for passengers to minimize contact and avoid unnecessarily handling luggage. Any driver showing signs of illness, such as fever, will not be allowed to work with the public.
Please note: Powderhound drivers operate as independent contractors.

Refunds

At Powderhound, we strive to maintain clear communication and work with our guests.

If you cancel a trip, refunds will be processed via applications such as Zelle, PayPal, or Venmo (PayPal is preferred). Refunds will be subject to the following deductions:

  • Credit card transaction fees charged to Powderhound.
  • A $25 administration fee per trip (e.g., $50 for a round trip).

The maximum refund for delays, breakdowns, cancellations, or no-show shuttles will not exceed the amount paid to Powderhound.

Example: If you paid $100 to Powderhound, the maximum refund you can receive is $100.

Cancellations

Cancellations made within 48 hours of the scheduled service are non-refundable. Powderhound will not initiate chargebacks for such cancellations.

Last-Minute Cancellations:
Powderhound may offer future credit at its discretion, which could include:

  • A percentage deduction from the balance.
  • An expiration date for the credit.
  • A reschedule of the charter.

Example of assistance:
If your flight is canceled and you cannot arrive until the following day, Powderhound will do its best to reschedule your charter.

Example of non-refundable circumstances:
If you booked transportation with us and canceled because your group decided not to attend, we cannot offer a refund for last-minute changes.

Important: All cancellations must be confirmed via email at reservations@ridethepowder.com.

Pickup Times

Effective March 16, 2024, pickup times will be provided as time windows (e.g., 3:00–4:00 PM). This change accommodates factors like larger vehicle travel times and long-distance resort pickups.

Time Adjustments

Powderhound prefers updates via email. If your group needs to adjust the pickup time, a confirmation email must be sent and received to finalize the changes. Verbal updates over the phone must be followed by email confirmation.

Vehicle Adjustments

Effective June 6, 2022, Powderhound reservations are based on group size, not specific vehicles. We reserve the right to adjust vehicle assignments for safety and operational reasons.

Example: If a bus is unavailable due to a failed pre-trip inspection or safety concerns, we may dispatch a Sprinter van with equivalent capacity. Refunds are not provided for these adjustments; however, credits or rate adjustments may be offered at our discretion.

Itemized Invoice

Effective July 6, 2023, additional line items (e.g., extra stops, tailgate package upgrades, ski luggage) will be included in the invoice based on prior communication. This ensures accurate driver assignments and better service delivery.

Rate Adjustments

No rate adjustments will be made within 48 hours of a booking. This includes changes in group size or alternate travel arrangements (e.g., deciding to rent a car).

Extended or Additional Stops

All trips include one complimentary 30-minute stop. For extended stops or additional requests, please add to your reservation by selecting add-ons. Drivers appreciate tips for extra-long stops.

Delays

In the event of a delay, your driver will communicate with your group. As long as your party is in a safe location, such as Denver International Airport, we ask for your patience while the vehicle is prepared.

Luggage Damage

Powderhound is not responsible for any lost, damaged, or destroyed luggage, gear, skis, or other belongings transported in our vehicles.

Extra Drop-Offs

Additional drop-offs must be pre-approved by dispatch and reflected on the invoice. Drivers reserve the right to charge extra fees or refuse additional stops not listed in the reservation.

Legal Statement

Powderhound Transportation works with licensed and insured contractors as well as its own vehicles. Powderhound Transportation is owned by GAINSMEDIA LLC. Charges will appear as either GAINSMEDIA LLC, Ride The Powder, or Powderhound Transportation on your credit card statement. Clients agree not to initiate chargebacks or disputes without first contacting Powderhound dispatch.
